Transportation Coordinator

PURPOSE OF YOUR JOB POSITION

The primary purpose of your job position is to plan, organize, develop and direct the overall operation of the Transportation Department in accordance with current federal, state, and local standards, guidelines, and regulations that govern our facility, and as may be directed by the Administrator.

DELEGATION OF AUTHORITY

As the Director of Transportation Department, you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties.

JOB FUNCTIONS

RISK EXPOSURE CATEGOREES:

1= Tasks may not involve exposure to blood/body fluids.
2= Tasks do not involve contact with blood/body fluids but could result in performing a Category I task.
3= Tasks do not involve any risk of exposure to blood/body fluids.

ADMINISTRATIVE FUNCTIONS:

  • Plan, organize, develop, implement, and direct the Transportation Department, as well as its programs and activities. 3
  • Develop methods for coordination of transportation services with other resident services to ensure the continuity of the resident's total regimen of care. 3
  • Develop, maintain, and periodically update written job descriptions for each level of transportation personnel. 3
  • Develop and maintain written transportation policies and procedures. 3
  • Interpret the department's policies and procedures to employees, residents, visitors, government agencies, etc. 3
  • Assist the transportation staff in the development and use of departmental policies, procedures, equipment, supplies, etc. 3
  • Perform administrative duties such as completing necessary forms, reports, evaluations, studies, etc. 3
  • Keep abreast of economic conditions/situations and recommend to the Administrator adjustments in transportation services that assure the continued ability to provide safe and comfortable transportation. 3
  • Make written and/or oral reports/ recommendations to the Administrator as necessary/required, concerning the operation of the Transportation Department. 3
  • Submit accident/incident reports to the Business Office within twenty-four (24) hours after the occurrence of the accident/incident. 3
  • Assume administrative authority, responsibility, and accountability of directing the Housekeeping Department. 3
  • Delegate a responsible staff member to act in your behalf when absent from the facility. 3

COMMITTEE FUNCTIONS:

Serve on various committees of the facility and provide written/oral reports of the transportation services and activities as required by the Committee's guidelines or direction. 3 Evaluate and implement recommendations from established committees (i.e. Infection Control, Safety, etc.) 3 Meet with transportation personnel on a regularly scheduled basis, and solicit advice from inter-department supervisors concerning the operation of the transportation department; assist in identifying and correcting problem areas, and/or the improvement of services. 3 Attend department head meetings as scheduled or as may be called. 3 Schedule and announce departmental meetings, times, dates, places, etc. 3

PERSONNEL FUNCTIONS:

  • Assist in the recruitment and selection of transportation personnel. 3
  • Determine departmental staffing requirements necessary to meet the transportation department's needs, and assign a sufficient number of transportation personnel for each tour of duty. 3
  • Recommend to the Administrator the number of transportation personnel to be employed. 3
  • Schedule department work hours (including vacation and holiday schedules), personnel work assignments, appointment schedule, etc. to expedite work. 3
  • Delegate administrative authority, responsibility, and accountability to other transportation personnel as deemed necessary to perform their assigned duties. 3
  • Counsel/discipline transportation personnel as requested or as necessary. 3
  • Review job description and duty assignment with new department personnel as directed/necessary. 3
  • Assist in standardizing the methods in which transportation duties will be performed. 3
  • Review and check competence of transportation personnel and make necessary adjustments/corrections as required or that may become necessary. 3
  • Maintain a productive working relationship with other department supervisors and coordinate transportation services to assure that care and services can be performed without interruption. 3
  • Assure that appropriate identification documents are presented prior to employment and that such records are maintained in the employee's personnel record. 3
  • Assign personnel to specific appointments in accordance with daily work assignments. 3
  • Assure that personnel are performing assigned tasks in accordance with established transportation procedures. 3
  • Interpret department policies and procedures to new transportation personnel. 3
  • Assist in the orientation and training of transportation department personnel. 2

STAFF DEVELOPMENT:

Develop and participate in the planning, conducting, scheduling, etc. of inservice training classes, on-the -job training, and orientation programs for transportation personnel. 3 Create and maintain an atmosphere of warmth, personal interest and positive environment throughout the facility. 3 Assume the responsibility for maintaining your professional competence through participation in programs of continuing education (i.e. transportation seminars, training programs, etc.). 3 Assure that all transportation personnel attend and participate in all mandatory inservices (i.e. tire inservice, tie-down, blood spill kits, etc.). 3

SAFETY AND SANITATION:

Assure that transportation personnel follow established safety regulations in the use of equipment and supplies at all times. 3 Develop and maintain maintenance prevention sheets to assist with van upkeep. 3 Assure facility safety by completing maintenance slips in a timely manner. 3

EQUIPMENT AND SUPPLY FUNCTIONS:

Recommend to the Administrator the equipment and supply needs of the department. 3 Place orders for equipment and supplies as necessary or as may be required. 3 Assure that equipment is cleaned and properly stored at the end of the shift. 2

RESIDENT RIGHTS:

Maintain confidentiality of all resident information. 3 Assure that the resident's personal and property rights are followed by transportation personnel at all times. 3 Review transportation complaints and grievances and make written/oral reports to the Administrator. 3

MISCELLANEOUS:

Make weekly inspections of transportation functions to assure that quality control measures are continually maintained. 3 Assure that transportation personnel follow established policies governing the use and disposal of personal protective equipment, infectious wastes, etc. 3

WORKING CONDITIONS

  • Works in office areas as well as transporting residents in various vehicles.
  • Sits, stands, bends, lifts, and moves intermittently during working hours.
  • Is subject to frequent interruptions and may need to reschedule activities.
  • Is involved with residents, personnel, visitors, government agencies/personnel etc., under all conditions and circumstances.
  • Is subject to hostile and emotionally upset residents, family members, etc.
  • Communicates with transportation personnel and other department supervisors.
  • Works beyond normal working hours, on weekends, and in other positions temporarily, when necessary.
  • Attends and participates in continuing educational programs.
  • Is subject to falls, burns from equipment, odors, etc. throughout the workday.
  • May be exposed to infectious waste, diseases, conditions, etc. including the AIDS and Hepatitis B viruses.
  • Maintains a liaison with other department supervisors to adequately plan for transportation services/activities.

EDUCATION

Must possess, as a minimum, a high school diploma.

EXPERIENCE

None required, on-the-job training provided.

Must:

  • Be able to read, write, speak, and understand the English language;
  • Possess the ability to make independent decisions when circumstances warrant such actions;
  • Possess the ability to deal tactfully with personnel, residents, visitors, and the general public;
  • Be knowledgeable of transportation practices and procedures;
  • Possess the leadership ability and willingness to work harmoniously with and supervise professional and non-professional personnel;
  • Have the ability to plan, organize, develop, implement, and interpret the programs, goals, objectives, policies, procedures etc., of the Transportation Department.
  • Maintain the care and use of supplies, equipment, etc., and the appearance transportation areas.
  • Have patience, tact, a cheerful disposition, and enthusiasm, as well as be willing residents based on whatever maturity level at which they are currently functioning;
  • Possess the ability to seek out new methods and principles and be willing to incorporate them into existing transportation practices;
  • Have the ability to relate information concerning a resident's condition.

PHYSICAL AND SENSORY REQUIREMENTS (With or Without the Aid of Mechanical Devices)

Must be able to:

  • Move intermittently throughout the workday;
  • Speak and write the English language in an understandable manner;
  • Cope with the mental and emotional stress of the position;
  • Possess sight/hearing sense or use prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully met;
  • Function independently and have flexibility, personal integrity, and the ability to work effectively with the residents, personnel, and support agencies;
  • Be in good general health and demonstrate emotional stability;
  • Relate to and work with ill, disabled, emotionally upset, and at times hostile people within the facility;
  • Lift, push, pull and move equipment, supplies, etc., in excess of fifty (50) pounds;
  • To assist in the evacuation of residents.

Tasks assigned to this position may involve exposure to blood or body fluids.
